Stop chasing contractors. Start receiving deliverables on time.
Major capital projects in oil & gas, midstream, and downstream involve 30 to two-100 contractors. Each contractor has its own document system. Each deliverable arrives in a different folder, in a different format, sometimes against a different revision of the project deliverables list. Reconciliation is a full-time role; commissioning surprises happen anyway.

"I have a document control team chasing contractors. Half the time we don't know we're missing a deliverable until commissioning."
"I have a document control team whose entire job is chasing contractors. Half the time we don't know we're missing a deliverable until commissioning." — Document Control Manager
3 failure modes recur:
- No single project deliverables list trusted by all parties. The owner has one; the EPC has another; the subcontractor has yet another.
- Contractors deliver via email, ftp, vendor portals, or shipped media. No common ingest surface.
- Reconciliation is manual. Document Control compares each delivery against the deliverables list; gaps surface late.
What TeamSync gives the Document Control Manager.
1. The project deliverables list as a TeamSync structured object.
The deliverables list is a typed document with line-item rows, each row representing one expected deliverable with its specification, format, due date, owning contractor, and acceptance criteria. The list is the single source of truth — owner, EPC, subcontractors all reference it.
2. The External Portal as the contractor ingest surface.
Every contractor accesses the External Portal with short-lived signed-URL tokens. They upload deliverables against the line items they own. The upload triggers a workflow that runs format checks, completeness checks, and acceptance-criteria checks.
3. Auto-reconciliation against the deliverables list.
The Business Process Automation workflow auto-reconciles delivered vs expected. Status surfaces in real time as a green-tick or red-cross per line item. Late or missing items trigger alerts to the contractor and to Document Control. No more commissioning surprises.
4. Document Templates for standard deliverables.
Document Templates generate the standard project communication artefacts — change-order notices, deliverable-rejection letters, hold-point-clearance letters — to keep the workflow moving.
5. The audit ledger anchors every contractor interaction.
Every upload, every reconciliation event, every acceptance, every rejection, every alert sent — anchored in the Merkle audit ledger. Contract disputes about "did the contractor deliver on time" have a cryptographic answer.

Frequently asked questions.
Does TeamSync replace Aconex on a megaproject?
For most projects, yes — at lower TCO and with the cryptographic chain-of-custody. Aconex remains the entrenched choice in some megaproject EPC environments where the owner mandates it. The TeamSync solutions team scopes per project.
Can subcontractors deliver via their own document system?
Yes. The External Portal supports email-attachment ingest, SFTP, vendor-portal pull, and direct upload. Each delivery is normalised and reconciled against the deliverables list.
What about format-conversion (CAD, PDF, native office)?
Standard formats handled natively. Specialised CAD viewers render in-browser; conversion not required.
